Job Description:
- The Administrative Officer is responsible for providing administrative and operational support at the assigned construction project site.
- The role ensures efficient site administration, maintains project documentation, coordinates site logistics, manages records, supports workforce administration, and facilitates communication between the project site and the head office.
Key Tasks and Responsibilities
- Manage the day-to-day administrative activities at the project site.
- Maintain and organize site records, files, correspondence, and project documentation.
- Provide support with preparing and submitting daily, weekly, and monthly site reports.
- Coordinate site meetings and maintain minutes of meetings.
- Monitor staff attendance, timesheets, leave records, and workforce movements.
- Support onboarding and induction of site personnel and visitors.
- Manage site office supplies, equipment, and inventory.
- Coordinate logistics for site personnel.
- Process requisitions and assist with procurement-related documentation.
- Maintain records of materials received, issued, and utilized on site.
- Liaise with contractors, consultants, and other project stakeholders on administrative matters.
- Ensure proper filing and storage of project drawings, contracts, permits, and other site documents.
- Support compliance with company policies, site procedures, and regulatory requirements.
- Facilitate communication between the project site and head office.
- Perform other administrative duties as assigned by project manager.
Requirements:
- Bachelor's Degree or HND in Business Administration, Public Administration, Management, or a related field.
- Minimum of 5 years of administrative experience, preferably in a construction or project-based environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience in document control and records management is an added advantage.
- Familiarity with construction site operations and project administration.
